Overview

Little Tree Confections is a growing bakery with teams across production, marketing, retail, logistics, and leadership. We built an n8n automation that reads every Fireflies meeting transcript, refines it with AI, and creates department-specific ClickUp tasks and Notion docs. It captures action items within minutes of a call and routes them to the right department without manual handoff.

The challenge

The problem we set out to solve.

01

Fireflies recorded every meeting, but the transcripts were rarely read.

02

Action items stayed buried in transcripts and never reached ClickUp.

03

Manual re-entry of tasks did not happen consistently.

04

Routing errors caused confusion over who owned each task, and the CEO had no daily view of progress.

What success needed to look like

  • Turn every meeting's action items into assigned tasks automatically.
  • Stop meeting insights from getting lost once the call ends.
  • Build one searchable knowledge base out of meetings instead of scattered transcripts.
  • Give the CEO a daily view of cross-team progress without chasing updates.
Our approach

How we delivered it.

01

Diagnose

Traced what happened to a meeting after Fireflies recorded it, and found the action items never made it past the transcript into ClickUp.

02

Design

Designed a two-workflow system — a real-time meeting pipeline and a daily scheduler — with dynamic ClickUp-structure reading so department routing needed no hardcoding.

03

Build

Built the n8n pipeline connecting Fireflies, OpenAI refinement, ClickUp task creation, and Notion documentation, in short 3-5 day iterative cycles with live stakeholder feedback.

04

Launch

Ran dry runs on historical transcripts and staged the rollout department by department before activating in production.

05

Run

Kept the daily CEO brief and deadline-reminder engine running, with error handling and execution logs to catch issues early.

The solution

What we built.

We built a two-workflow n8n system. The first runs in real time: Fireflies transcripts flow into OpenAI for refinement, then into ClickUp tasks and Notion docs. It reads the live ClickUp structure instead of hardcoding it, so it routes action items to the correct department automatically and captures them within minutes of the call. The second workflow runs on a daily schedule, building the CEO brief and firing deadline reminders. Error handling and execution logs keep the pipeline reliable.

The takeaway

The best automation is invisible — meetings turn into tracked, assigned, department-routed action items without anyone touching a keyboard.

Start

Let’s build the one that runs after.

A senior engineer reads every brief, and your call gets scheduled within 24 hours.

What happens next

  1. 01

You send a brief or book a call

    Two minutes, whichever you prefer.

  2. 02

A senior engineer replies within 24 hours

    Not a sales rep.

  3. 03

    Honest scoping, in writing

And if we’re not the right fit, we say so.
