Overview

Shift Link replaces spreadsheets with one system for workforce compliance and scheduling. It onboards workers, validates documents, checks right-to-work, schedules shifts by eligibility, and runs payroll and margin logic — with real-time dashboards for consultants. Built for a UK recruitment firm supplying temporary staff to healthcare, logistics, and warehousing.

The challenge

The problem we set out to solve.

01

Onboarding, compliance, scheduling, and payroll lived in spreadsheets and disconnected systems.

02

Manual compliance tracking created real regulatory risk.

03

Document verification slowed worker onboarding.

04

Payroll, shift, and compliance workflows never talked to each other.

05

Wage rules and regulations were hard to enforce.

06

Legacy tools had no automation, no single source of data, and little mobile support.

What success needed to look like

  • Compliance status is visible in real time, not buried in spreadsheets.
  • Workers get onboarded and cleared for shifts faster, without manual document chasing.
  • Payroll, scheduling, and compliance run from one connected system instead of disconnected tools.
  • The platform works from a phone on-site, not just a desk.
Our approach

How we delivered it.

01

Diagnose

Traced how onboarding, compliance checks, scheduling, and payroll actually flowed across spreadsheets and separate systems, and found where compliance risk and delay were building up.

02

Design

Designed a single data model connecting worker records, compliance status, shift eligibility, and payroll — including the mobile clock-in flow with GPS and facial recognition.

03

Build

Built the platform on Next.js for web and React Native for mobile, backed by Supabase for auth, realtime data, and storage, wiring in the UK Right-to-Work API for automated document validation and expiry tracking.

04

Launch

Deployed through CI/CD pipelines to Vercel, bringing real-time compliance dashboards and alerts live for consultants managing hundreds of active workers across multiple sites.

05

Run

Kept refining the AI-assisted validation logic and margin-forecasting reports as the firm scaled to more sites and clients.

The solution

What we built.

We built a cloud platform with web and mobile access that handles the full workforce lifecycle: worker registration, compliance validation, shift scheduling with eligibility logic, payroll and margin forecasting, and analytics. Consultants get real-time dashboards and automated alerts, so compliance gaps surface before they become problems. Workers clock in with GPS and facial recognition, and documents are validated and tracked for expiry automatically.

The takeaway

Workforce compliance breaks down when it lives in spreadsheets — connecting onboarding, scheduling, and payroll into one system is what makes it enforceable.

Start

Let’s build the one that runs after.

A senior engineer reads every brief, and your call gets scheduled within 24 hours.

What happens next

  1. 01

You send a brief or book a call

    Two minutes, whichever you prefer.

  2. 02

A senior engineer replies within 24 hours

    Not a sales rep.

  3. 03

    Honest scoping, in writing

And if we’re not the right fit, we say so.
